Withdrawing A Program vs. No Applicants to Rank

If a program that is registered for the Match no longer has any positions available to begin in 2012, the program must be withdrawn from the Match. A withdrawn program will not be included in the matching process, will not be matched with any applicants, and will not revert any unfilled positions to another program or receive any unfilled positions from another program. Furthermore, a program that is withdrawn for Phase I of the Match will not be included on the list of programs with unfilled positions that is posted on this web site after Phase I of the Match.

To withdraw a program prior to January 15, 2012, the training director must submit a signed request in writing to NMS. The site's registration confirmation previously sent to the training director can be used to communicate the change to NMS; cross the program to be withdrawn off the list of registered programs, write "withdraw" and the date beside the crossed out line, initial the change and sign the document. The request should be sent to NMS either as a scanned e-mail attachment or by fax to 416-977-5020 or 716-282-0611.

After January 15, 2012 the training director should not send a request to withdraw a program to NMS in writing, but must withdraw the program through the ROLIC system. The ROLIC system will be available for Phase I of the Match from January 23, 2012 through February 8, 2012, and for Phase II of the Match from March 1, 2012 through March 19, 2012. To withdraw a program when the ROLIC system is available, login to the ROLIC system by clicking on the button below, enter the 6-digit program Code Number and password/PIN, select the Withdraw button on the initial program information page that is displayed after you login, then follow the instructions provided on the screen to complete the withdraw process.

No Applicants to Rank for Phase I of the Match

If a program has position(s) available to begin in 2012 that you would like to fill but has no acceptable applicants to rank for Phase I of the Match, and you wish to offer the position(s) in Phase II of the Match, the program should not be withdrawn. In this case, you should use the ROLIC system (when it is available) to indicate that the program is still active but you have no rankings of applicants to submit for the program for Phase I of the Match. To indicate a program has no applicants to rank, login to the ROLIC system by entering the 6-digit program Code Number and password/PIN, select the No Applicants to Rank button on the initial program information page displayed after you login, then follow the instructions provided on the screen to certify the list with no ranks. The program will remain active in the Match, but the program will not be matched with any applicants in Phase I. The program will be included on the list of programs with unfilled positions that is posted on this web site after Phase I of the Match, and will be able to receive applications for and participate in Phase II of the Match.

Note: Indicating a program has no applicants to rank for Phase I is not the same as withdrawing the program from Phase I of the Match. A program with positions available but with no applicants to rank may stay active in the Match in order to be included on the list of programs with unfilled positions that is posted on this web site after Phase I of the Match. A program that is withdrawn from Phase I of the Match will not be included on the list of programs with unfilled positions after Phase I.

Reinstating A Withdrawn Program

Phase I: If you withdraw a program for Phase I of the Match but then decide to submit rankings of applicants for the program for Phase I of the Match you can reinstate the program through the ROLIC system prior to the Phase I Rank Order List deadline (February 8, 2012 at 11:59 p.m. Eastern Time).

Phase II: If you withdraw a program for Phase II of the Match but then decide to submit rankings of applicants for the program for Phase II of the Match, you can reinstate the program through the ROLIC system prior to the Phase II Rank Order List deadline (March 19, 2012 at 11:59 p.m. Eastern Time).

To reinstate a program, login to the ROLIC system by entering the 6-digit program Code Number and password/PIN, select the Reinstate button on the initial program information page that is displayed after you login, then follow the instructions provided on the screen to complete the process.

Note: If a program is withdrawn in Phase I of the Match, it will not be carried over automatically to Phase II. If you wish to reinstate the program for Phase II, you must send a written request to NMS on your site’s letterhead, signed by the Training Director, indicating: the name of the training site; the name and Code Number of the program; the total number of positions to be offered by the program in Phase II; and, the reason why the reinstatement of the program for Phase II is required. The request must be sent to NMS either by fax to 416-977-5020 or 716-282-0611, or as a scanned e-mail attachment, and must be received at NMS as soon as possible, and no later than 5:00 p.m. Eastern Time on March 19, 2012.
