Submitting Multiple Lists For One Program

Please Note: Multiple lists for one program will be accepted only in Phase I of the Match. This option will not be available to programs in Phase II of the Match.

Most programs will need to submit only one Rank Order List for Phase I of the Match, in order to match with the most desirable applicants to the program. However, some programs may have special requirements that can only be satisfied by submitting more than one Rank Order List for a single program.

For example, it is possible within the matching process to attempt to recruit a particular "mix" or distribution of applicants for a program based on specific applicant characteristics. To accomplish this, a program must divide the program's available positions into separate categories, designate how many positions are to be allocated to each category, and submit separate Rank Order Lists for each category of position.

Training sites offering more than one program in the Match can choose to submit multiple lists for some or all of their programs, if desired. For example, a training site offering a general internship program, a neuropsychology program and a geropsychology program could choose to submit three lists for the general internship program, two lists for the neuropsychology program, and only one list for the geropsychology program, if that was necessary to satisfy their requirements.

Note: Applicants applying to a program that chooses to submit multiple lists for a single program need only include on their Rank Order Lists the single program Code Number originally assigned to the program. Applicants do not need to know that the program is submitting multiple lists, or on which specific list(s) for the program their names may appear.

Programs that submit multiple Rank Order Lists for a single program cannot submit their rankings using the ROLIC system. These programs must submit their Rank Order Lists on paper to NMS by the Rank Order List deadline (February 8, 2012).

If you wish to submit multiple lists for a single program, you should still use the ROLIC system to confirm and/or modify non-ranking information for the program as displayed on the initial program information page in the ROLIC system (please refer to the ROLIC Program User Guide provided elsewhere on this web site). This information includes contact information (Training Director name, mailing and e-mail addresses, telephone and fax numbers) and total number of positions to be filled by the program in the Match.

However, you should not enter any choices of applicants for the program into the ROLIC system. In addition, you should not indicate in the ROLIC system any limits to be placed on the matching of applicants to the program from any one university or school; these limits can only be applied to a single Rank Order List, not across multiple lists for a single program.

To submit multiple Rank Order Lists for a single program, you must download and print the [PDF] instructions, examples and forms for submitting multiple lists. The instructions, examples and forms are in PDF format; to download the document, click on the link in the previous sentence. After reviewing the instructions and examples carefully, the required forms should be completed, signed and submitted to NMS, either by scanned e-mail attachment or by fax to either 416-977-5020 or 716-282-0611, by the Rank Order List deadline (February 8, 2012). Confirming Multiple Rank Order List Information

Since the rankings on multiple Rank Order Lists submitted for a single program cannot be entered or confirmed through the ROLIC system, an alternative procedure is provided for programs that submit multiple lists to confirm their Rank Order List information.

If you submit multiple lists for a single program, your site's complete Rank Order List and reversion information will be displayed in a confidential manner on this web site beginning at 10:00 a.m. Eastern Time on Wednesday, February 15, 2012. You must confirm the information for your site by 4:00 p.m. Eastern Time on February 15, 2012. To access the confirmation on the web site, you will need to enter both the 6-digit Code Number of a program at your site and your password/PIN (i.e., the same codes that are required to access your site's Match results, as described in the information provided to you by NMS).

It is your responsibility to ensure that all the ranking and reversion information submitted by your training site is correct on the confirmation available on the web site. If there are any errors on the confirmation, you must contact NMS by phone at (416) 977-3431 or (716) 282-4013 no later than 4:00 p.m. Eastern Time on Wednesday, February 15, 2012 to notify NMS of the error, so that it can be corrected for the Match.
