Withdrawing a Program
If a program that is registered for the Match no longer has any positions available to begin in 2011, the program must be withdrawn from the Match. A withdrawn program will not be included in the matching process, will not be matched with any applicants, will not revert any unfilled positions to another program or receive any unfilled positions from another program, and will not be included on the list of programs with available positions that is posted on this web site after the Match for the use of unmatched applicants.
To withdraw a program prior to February 15, 2011, the program director must submit a signed request in writing to NMS. The registration confirmation previously sent to the program director can be used to communicate the change to NMS; cross the program to be withdrawn off the list of registered programs, write "withdraw" and the date beside the crossed out line, and initial the change. The request should be sent by fax to 416-977-5020 or 716-282-0611.
After February 15, 2011 the program director should not send a request to withdraw a program to NMS in writing, but must withdraw the program through the ROLIC system. The ROLIC system will be available from February 21, 2011 through March 11, 2011. Detailed instructions for using the ROLIC system will be provided on this web site by February 11, 2011.
No Acceptable Applicants to Rank
If a program has positions available to begin in 2011 but has no acceptable applicants to rank, there are three possibilities:
- You may wish to move the position(s) available in this program to another program within your organization where the position(s) may be filled, in order to maximize the number of positions filled in the organization. In this case, prior to the Rank Order List deadline, you must withdraw the program from the Match and increase the number of positions to be filled in the other program accordingly. Since the program is withdrawn and the position(s) have been moved to another program, this program will be excluded from the list of programs with available positions that is posted on this web site after the Match.
Note: This is not the same as reverting the unfilled position(s) within the matching process, since in this case the decision to move the position(s) is made in advance of the matching process, and no attempt is made to fill the position(s) within the matching process (i.e. no Rank Order List of applicants is submitted for the program).
- If the program has position(s) available that are not being moved to another program, and you wish to make the position(s) available to applicants after the Match, you should not withdraw the program. You should use the ROLIC system, when it is available, to indicate that the progam is still active but you have no rankings of applicants to submit for the program. Detailed instructions for using the ROLIC system will be provided on this web site by February 11, 2011. In this case, the program will remain active in the Match but will not be matched with any applicants. The program will be included on the list of programs with available positions that is posted on this web site after the Match for the use of unmatched applicants.
Note: Indicating a program has no applicants to rank is not the same as withdrawing the program from the Match. A program with positions available but with no applicants to rank may stay active in the Match in order to be included on the list of programs with available positions that is posted on this web site after the Match. A withdrawn program will not be included on the list of programs with available positions after the Match.
- If you have decided not to offer the position(s) after the Match to any applicants this year, and you do not wish to move the position(s) to another program, you should withdraw the program from the Match, as described above. A withdrawn program will not be matched with any applicants and will be excluded from the list of programs with available positions that is posted on this web site after the Match.
Note: If you previously submitted instructions to revert the unfilled position(s) for a program that now has no applicants to rank, you should instruct NMS in writing to delete the previously submitted reversion. If you want to move the position(s) to another program, this should be done before the Rank Order List deadline by withdrawing the program and increasing the positions to be filled in the other program, as described above. If you do not want to move the position(s), and wish to include the program on the list of programs with positions available after the Match, then you should not revert the unfilled position(s) to another program.
